Project Coordinator/Assistant Project Manager

As a Project Coordinator for Civil & Environmental Consultants, Inc., you will assist Project Managers with project cost control, preparing client specific invoicing backup schedules, project rate analysis, project budgets, budget proposal cost estimates, revenue and performance analysis. You will provide daily project cost tracking, audit daily field reports by field verification of quantities and personnel, and provide, weekly, and monthly project summaries. You will assist with estimating completion dates as work progress, maintain regular communication with the Project Managers, Principals and Vice Presidents that are involved with the projects with the goal of achieving the schedule, job cost budget estimates and invoicing as required.  

Primary duties the Project Coordinator is responsible for:

  • Assisting Project Managers and Principals with project cost control, project budget tracking, subcontractor scheduling and invoice cost review tracking, and construction management project cost tracking
  • Assisting the Project managers with developing and completing client specific information often required with cost tracking and support for invoicing particularly in the oil & gas and public sector market projects.
  • Ensuring equipment usage and other pass-through costs are properly included in the proposal cost estimates and recorded / charged to the project receiving the benefit.
  • Assist with the development and implementation of proposals, contracts, master service agreements and sub-consulting agreements in accordance with CEC policies.
  • Provide daily project cost tracking, and daily, weekly, and monthly project cost summaries required by the client.
  • maintain regular, clear communications with Project Managers, particularly for project budget cost tracking and drafting early warning notifications to client for budget usage, project cost controls and out of scope items.
  • Assist with the cost control function during the draft invoicing processing within management information system and interfacing with the Project Accountant.
  • Assist with special project requests. 
Here's What You'll Need:

  • Bachelor’s Degree (preferred in Accounting or Business);
  • Minimum of 5 years of experience (engineering and consulting industry experience a plus);
  • Ability to develop and organize cost information
  • Above average knowledge and experience with Excel and experience Microsoft Word, Adobe, and Outlook along with aptitude for learning internal systems and project based management information systems;
  • Excellent oral and written communication skills;
  • Ability to work independently and maintain confidentiality;
  • Ability to manage workload to meet daily, weekly and monthly deadlines.
