Accounts Payable Specialist

Primary duties include:

- Prepare vendor invoices for data entry, including general ledger and cost coding, vendor verification/set-up and compliance with the Authority Matrix for approval signatures;

- Review and audit expense coding of employee expense reports including receipts verification according to company policy guidelines, general ledger account coding and appropriate approvals;

- Process payments for employee expense reports bi-weekly via direct deposit;

- Process vendor payments including the positive pay audit processing;

- Weekly accounts payable payment process and audit;

- Record bank cash disbursements and administer petty cash funds;

- Understand & administer subconsultant contract terms and insurance requirements and payment terms;

- Control and record the Company Credit Card accounting;

- Sales and Use Tax compliance and tax return fillings

- Understand the accounting cycle including monthly processing deadlines and effects on project billing and financial statement preparation;

- Communication and interaction with all levels of employees from multiple office locations;

- Implementation and documentation of system and process improvements and changes.

Other duties include:

-Expense report auditing and compliance

-Pricing and expense analysis

-Other analysis as requested

Deadlines and schedule demands may require extended work schedule

Education (minimum requirement):

Associates Degree or Bachelor’s Degree in Accounting or Business Administration


Zero to five years of professional experience (engineering and consulting industry experience a plus), MS Office experience (Excel), accounts payable and general ledger experience with integrated accounting systems, Deltek experience a plus.
